What are the types of personal information we collect and process?

We hold personal data as a necessary requirement for the effective functioning of our assisted and training services and website.

The personal data we collect from you may include:

– information to deliver appropriate support and training, this may include without limitation: your name and contact details, your digital learning interests and preferences, digital skill level and computer capability

– information to contact you in the event of changes to your arranged training,

– information to send you any certification,

– information to keep you up to date with new opportunities for learning that might interest you.

– your answers to the ‘get involved’ form

– where relevant a record of your contact with us, including your email address

– your Internet Protocol (IP) address

– details of which version of web browser you used

We will not excessively collect any personal data from you that we do not need and we will periodically review your personal information to ensure that we do not retain it for any longer than our agreed, and documented, retention schedules.

Why do we collect or process your personal information?

We collect or process your information:

– to deliver appropriate support and training

– to respond to any feedback you send us

– to maintain our website and to help us make improvements

– for research and evaluation purposes

We also use what we collect to improve the support we offer and to develop new and better services for our learners.

We will not contact you to try to sell you anything as our training is always free to access for learners.

When your information is passed to us by another party

There are occasions where you may be accessing our services through another organisation, for example when they request us to provide a service to you under a formal contract. If they provide us with your details, we treat this accordingly. We will treat and protect this information as if you had provided it personally and only use it for the purposes stated in the contract.

Disclosure of your personal information to other organisations

– To organisations with whom you have an existing relationship or with whom we work in partnership to deliver your training or support and where there is a sharing agreement in place to protect your rights.

– In some circumstances, we may need to share basic personal data from time to time for the purpose of fulfilling contractual requirements.

– Where there is an authorised legal requirement/request for us to release the data.

Lawful basis for processing your data

Our preferred approach is to always seek your explicit consent to store and process any personal information and we will always inform you of how to remove your consent at any time. In very rare instances we may reserve the right to use Legal obligation as covered in the previous paragraph if we need to process your information to comply with the law.

How long do we keep your information for?

In order that we are able to provide the best possible service to you, we have agreed and documented retention schedules that we consider to be relevant and proportionate to the service we are providing. The retention period is normally defined as part of the contract we sign to deliver a service. We will also ensure that when we cease to use your information we will always ensure that it is removed in a secure manner that means that it is no longer available.

Children’s privacy protection
Ordinarily, our services are not designed for, or intentionally targeted at, children 13 years of age or younger. We do not intentionally collect or maintain data about anyone under the age of 13. On any occasion where we are requested to offer services to children under the age of 13, if we are collecting any personal information on these children, we will get consent from whoever holds parental responsibility for the child – unless the online service is a preventive or counselling service.

Keeping your personal information safe

We use sub-processors to store our data safely and securely. Our sub-processors have robust security features to ensure that they have the appropriate technical and organisational measures to keep personal data secure.

Use of Sub-Processors for Training

We use data processors who are third parties who provide elements of services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. 

International Data Transfers

As part of using Internet services data we collect may be transferred to, stored and processed in other countries. Whenever we transfer your personal data out of the EEA we seek to ensure similar protection to the UK GDPR by using EU-approved Model Contract Clauses or formal International Data Transfer Agreements.

Your rights

You have a number of legal rights in relation to the information that we hold about you, including:
